Approving your awarded slice and handling orders

Instead of awarding every line of a demand to a single supplier, a buyer can split it across several suppliers. In such a split, the share that falls to you is called a slice. The slice comes before the order: you approve your share first, and the buyer starts the orders once all approvals are in.

Where to find awards awaiting your decision

Open My Orders from the top menu. If slices have been set aside for you, an Awards awaiting your decision section appears at the top of the list. Each row shows the demand title and the approximate value of your share; Review takes you to the decision screen. Even after you have decided, the row may stay in this section until the buyer starts the orders.

Reviewing your awarded slice

At the top of the decision screen you see the Your awarded slice label, with the demand title just below it. The screen contains:

  • The current state of your decision: Your approval is pending, You approved or You declined
  • Lines assigned to you — only the lines that fall to you, with product name, quantity, unit price and line total
  • Slice subtotal — the total of those lines. If your offer is not in EUR, the approximate EUR equivalent is shown as well

On this screen you see only your own share. If other suppliers also won part of the same demand, their identity, the lines they received and their amounts are never shown to you.

Approving or declining

  1. Check the lines and the Slice subtotal.
  2. If you accept, press Approve.
  3. If you do not accept, press Decline. In the field that opens you may enter a Reason for declining (optional) — you can leave it blank. Send your decision with Confirm decline, or press Cancel if you change your mind.

You can change your decision until the buyer starts the orders. Once the orders have been created, the screen shows the notice "Orders have already been issued for this demand — the decision can no longer be changed." and the approve/decline buttons are disabled.

When you decline, the lines do not disappear from your screen straight away; your decision is recorded as You declined, and before the orders are started the buyer can reassign those lines to another supplier that quoted them. A reassigned line leaves your slice.

If you did not win a demand, or the buyer has not confirmed the split yet, this screen shows the message "You have no slice on this demand" — this is not an error.

The My Orders list

Once all slice approvals are complete and the buyer starts the orders, your order appears in the My Orders list. Each row shows the demand title, the order amount, the date and a status label:

  • Issued — the order has been drawn up and is awaiting your confirmation
  • Confirmed — you have confirmed the order
  • Change proposed — you proposed a change and the buyer's decision is pending
  • Cancelled — the order was cancelled
  • Fulfilled

The list contains only your own orders.

Order detail and confirmation

Clicking a row opens the order detail. The detail shows the Document no, Buyer, Supplier, the time it was issued, the order lines and the total amount. If the order has not been confirmed yet, a Confirm by date is shown as well. Incoterm, payment and delivery information is also listed where available. The step line at the top shows where the order stands: IssuedConfirmed (if you proposed a change along the way, a Change proposed step appears in between).

When you press Confirm order, you accept the terms on which the order was drawn up (lines, quantities and amount). After confirmation the order moves to Confirmed and is recorded on the platform together with the time of your confirmation.

Proposing a change

If the terms do not suit you, press Propose a change. The order moves to Change proposed and the screen shows the note "Your proposed change is awaiting the buyer's decision." You cannot confirm the order while this is pending — the buyer has to decide first.

Tell the buyer what you want to change (price, quantity, lead time, payment terms) through the Messages section in the offer detail under My Marketplace Offers; the propose button on its own carries no details.

If the buyer accepts the change, the order moves to Confirmed. If the buyer rejects it, the order becomes Cancelled and is closed.

Completing the demand

A demand is completed once all of its orders have been confirmed. Until then, both sides see an interim "awaiting confirmation" state. Confirming your own order only closes your share; completion of the demand as a whole also depends on the other suppliers' confirmations.
